Regulatory affairs software for cosmetics: checks on formula and raw material
For regulatory affairs teams that want to ensure compliance systematically and document checks efficiently.
Regulatory work, structured, documented and traceable
Challenges
Regulatory checks are done manually and not systematically documented.
Changes to raw-material regulations are often noticed too late.
Proving that all mandatory tests have been performed is cumbersome during audits.
Communication between Regulatory and R&D is fragmented — approvals are delayed.
How VYVA helps
Structure testing requirements and regulatory checkpoints by target market and product category.
Connect regulatory signals with affected raw materials and formulations.
Document review and approval processes with timestamp, reviewer and decision rationale.
Access formulation data and test results in the same product context.
How it works in VYVA
- 1
Rules on the raw material
Regulatory entries, for example from the annexes of the EU Cosmetics Regulation, are assigned to raw materials. Restrictions and maximum concentrations are visible where formulating happens.
- 2
Check the formula
For a formula you can see which ingredients are affected by rules and where limits are touched. The result is a starting point for your assessment, not a substitute for it.
- 3
Track changes
When a rule changes, the affected raw materials and formulas can be found. Notices stay open until they have been assessed.
- 4
Document the decision
Reviews and approvals are recorded with time, person and reasoning. In an authority enquiry or an audit, it is traceable who checked what and when.
An everyday example
The permitted maximum concentration of a UV filter is changed. The notice names the raw materials that contain the substance and the formulas they are used in. Regulatory assesses each affected formula, documents the decision with its reasoning and sees the same raw-material and test data as R&D. R&D sees the notice on the formula and can look for an alternative in the raw-material database. Where reformulation is needed, a new formula version is created. In a later authority enquiry, the case is on record with date, reviewer and decision.
The areas you will use
