Checklist: is your cosmetic R&D ready for a central digital platform?

Not every spreadsheet needs replacing. The right time for an R&D platform arrives when complexity across projects, people and data sources costs more time than the flexibility of standalone tools saves. This checklist helps assess the pressure systematically.

Quick check: 10 signals of digitalization need

If several of these apply – unclear formula versions, duplicate material data, tests without clear assignment, email-based approvals, dependence on individual knowledge, weak project visibility or repetitive regulatory research – a structured process assessment is worthwhile.

Key takeaways

  • Several people edit the same formulas
  • Raw-material data is maintained in multiple files
  • Test results are separated from formulations
  • Approvals mainly live in email
  • Project status needs manual consolidation

1. Assess data fragmentation

Map where formulas, material specifications, prices, testing, stability, briefs and approvals live today. The more systems and local files needed per product, the higher the search and coordination cost.

2. Measure dependence on individuals

For three active projects ask whether another team member could understand tomorrow which formula is current, why it was chosen and which tests remain open. If the answer depends on one person, the problem is structural.

3. Make repeated work visible

Track how often supplier data is retyped, material information copied, status lists updated or old tests searched. These activities create a stronger business case than generic digitalization claims.

4. Define the target state

A platform should not “digitize everything” but improve specific information flows. Define 3–5 measurable goals such as explicit formula versions, central material master, linked testing, transparent projects or faster regulatory handover.
